Trace the route from vehicle to service
Measure doors, lifts, gates and tight turns. Note stairs, surface changes and the distance from unloading. Agree on arrival and removal times with the venue and identify who can provide access.
Confirm utilities with both parties
Ask the operator for their exact power and water requirements. Give those to the venue contact and request confirmation of the approved supply. Do not assume a nearby outlet is suitable or an extension lead solves the issue.
Draw the service area
Show where guests order and collect drinks. Leave an accessible route past the cart and keep doors and exits clear. Include space for supplies, refrigeration and waste as required by the operator and venue.
Agree on the backup and responsibilities
For outdoor service, ask about shelter, heat, wind and rain limits and agree on a workable alternative. Confirm venue-required documents and who handles waste, spills and final cleanup. Requirements vary by venue and operator.
